VALID requires no new hardware or software - just Internet access
and a Web browser and it supports all major document formats including
TIFF, PDF, DOC, JPEG, MPEG and WAV, and more. While a simple, secure
outsourced database isn't tying up any more bandwidth, time or energy.
The award-winning Alamo National Car Rental (ANC)
is just one of VALID's growing number of application service provider
(ASP) clients. Back in January, Alamo signed up for a managed service
contract for Valid Information Systems to run an off-site managed
document service. Initially, the proposal was for VALID to scan
in and code some 3,000 documents daily. Today, this figure has gone
up more than five times with up to 15,000 documents being scanned
daily with couriers delivering boxes from any one of the 110 nation-wide
branches to VALID's head office in Ilford.
The documents comprise rental agreements with all
the associated documentation such as parking fines and correspondence.
These are prepared and scanned onto a VALID Vault server ready for
ANC staff to view via a standard Web browser from any of its locations.
There are now over 100 users in Legal and Insurance departments
within ANC branches accessing information on line through the highly
secure ASP Vault.
ANC carefully considered the legal implications of
putting all its rental agreements and related documentation on line.
Having investigated a number of solutions, VALID was chosen on the
basis of its legal admissibility compliance procedures that include
comprehensive auditing facilities as well as its Certificate of
Compliance with the British Standard Institute's (BSI) legal admissibility
standard PD0008. Legal admissibility is naturally a requirement
for VALID's extensive legal client database including top City firms
Norton Rose, Ashurst Morris Crisp and Cameron McKenna, among others.
Valid Information Systems was one of the first UK software suppliers
to introduce the facility of hiring its software out on a monthly
basis for immediate secure global access to documents via the Web.
Each client is assigned a dedicated server with a practically unlimited
capacity for storage. Data is transmitted through a high speed link
with a bandwidth capacity of 2Mb This, combined with the additional
secure socket layer (SSL) guarantees absolute confidentiality. ASP
clients include Transatlantic Insurance, Axa Insurance and Copelco
UK.
The fact that the system is totally independent means
that any standard Web browser can be used to access data on line.
Information is available for as many users as required and from
anywhere in the world. The rapid speed of retrieval ensures raised
productivity as customer inquiries can be answered immediately rather
than requiring a return phone call.
VALID's ASP service provides a speedy and accurate
information management solution for customers by using caching technology
and server optimisation, as well as scalable bandwidth for handling
traffic. The system is, in fact, totally bandwidth independent and
will run on any link from a modem to the fastest cable connection.
